Spreadsheets are honest tools. The problem is pretending they are still the right tool after the business has changed shape.

Signals it is time

  • Two chauffeurs regularly work overlapping windows and you have double-booked at least once this quarter.
  • Partners ask for a booking link and you send a phone number.
  • Quotes differ depending on who answers the enquiry.
  • Month-end means rebuilding revenue from chat exports.
  • A passenger complaint starts with “I never got a confirmation.”

Any two of those is enough. Waiting for a viral disaster is optional.

What to migrate first

Do not boil the ocean. Move quoting and booking first — that is where revenue and brand live. Then assignments. Then reporting. Keep a temporary sheet only as a fallback, with an end date.

Measure the swap

Track missed jobs, quote turnaround time, and passenger “where is my car” contacts for 30 days before and after. The spreadsheet nostalgia fades when the numbers move.
