The expensive compliance failure is not the expired document you already knew about. It is the job you sold while that document was expired.

Make expiry a first-class field

Licence, insurance, MOT / inspection, operator cards — whatever your market requires — need dates in the system, not in a filing cabinet. Dispatch should see “sellable” status, not a PDF folder.

Block the bad assignment

A soft warning that busy desks ignore is not a control. Prefer hard stops for critical expiries and a clear path to override only when a manager accepts the risk with an audit trail.

Review weekly, not annually

A Monday sweep of entities entering a 14-day window beats a quarterly panic. Tie the review to the same desk rhythm as vehicle availability.

Connect compliance to commercial reality

If a vehicle is not sellable, remove it from quoting availability. Selling a class you cannot fulfil creates passenger failure and chauffeur frustration in one move.
