Dispatch without WhatsApp: a quieter desk for multi-chauffeur fleets

WhatsApp is excellent for a two-person company. It is a liability the moment three chauffeurs, two airport jobs, and a hotel partner all need answers in the same ten minutes.
The failure mode is silent
In chat, the last message wins. Assignments get overwritten by screenshots. Passengers hear conflicting ETAs. Nobody can audit who promised what. When something goes wrong, you rebuild the story from memory.
What a job board must show
A usable dispatch surface answers four questions without a ping:
- What is unassigned right now?
- Who is free, compliant, and nearby enough?
- What conflict exists if I assign this vehicle?
- What status has the passenger already seen?
If your tool cannot answer those, you will keep a parallel chat — and the parallel chat will become the real system of record.
Status is a product feature
Passengers do not need your internal drama. They need: confirmed, chauffeur assigned, en route, arrived, completed. Push those states deliberately. Reduce “where are you?” calls without adding more noise to the chauffeur’s phone.
Start with assignment hygiene
Even before advanced routing algorithms, enforce one assignment per active job, clear handoffs, and a history trail. That alone beats most WhatsApp desks.
